A BUSINESS PHONE SYSTEM, EXPLAINED

One phone system.
Many ways to
reach your team.

A PBX is the phone system behind your business. It connects internal extensions and decides what happens when someone calls your main number: a welcome message, a menu, a person or a group of people.

Start with Sayvona hosting and discuss future private deployment requirements. Your team can use compatible SIP desk phones or softphones, while administrators configure extensions, business hours and routing. A SIP trunk connects the PBX to the public telephone network.

You choose where that trunk comes from. Keep a compatible existing provider, or ask Sayvona for a number and calling connection.

CHOOSE WHERE YOUR PBX LIVES

Hosted today.
Plan your next deployment.

Choose who runs the infrastructure, then choose your telephone provider. Hosting and SIP trunk supply are separate decisions.

Hosted by Sayvona.

For teams that want the phone system without operating the server. We host the PBX; your administrator manages the people and call setup.

How you pay
A monthly hosted software plan, sized by extension capacity. Numbers, airtime and optional services are additional.
Who looks after what
Sayvona operates the agreed hosting and platform updates. Your team manages users, devices and office connectivity. Backup arrangements and support scope are confirmed in the service agreement.
Your telephone connection
Use Sayvona numbers and calling or bring a compatible SIP trunk.

Planned

Self-hosted on
your infrastructure.

For businesses planning to operate their own environment. Self-hosted Sayvona is not generally available. Discuss your requirements and a future annual software licence.

How you pay
Proposed annual licensing per installation with defined capacity, updates and support. Final pricing and availability need a deployment assessment.
Who looks after what
Your team provides the server, operating environment, backups, network security and routine infrastructure monitoring. A future agreement would define the software, updates and product support.
Your telephone connection
Keep your carrier or connect to Sayvona numbers and calling. Hosting it yourself does not require a Sayvona trunk.
Discuss self-hosting requirements

Self-hosted and private deployments are planned. We confirm release availability, supported infrastructure, installation capacity, updates and support before making a deployment commitment.

MAKE YOUR PHONE SYSTEM YOUR OWN

The everyday details.
Thoughtfully connected.

01 /

Extensions for the whole office.

Give reception, sales, accounts and the rest of your team their own extensions. Choose a capacity bundle so adding the next person does not require a new plan every time.

02 /

A greeting that guides callers.

Use your business greeting and a configured menu to help callers reach the right destination. Keep the main number familiar as the team changes behind it.

03 /

Ring the people who can answer.

Use ring groups and routing rules to share incoming calls across a team. Set the next destination for busy, unanswered and unavailable situations.

04 /

Opening hours that mean something.

Set a different call journey for office hours and after hours. Tell callers when you will be back and choose where the call should go next.

05 /

Control for your administrator.

Manage configured extensions and supported routing settings in your account. Guided onboarding helps your administrator understand the setup before taking it over.

06 /

Devices that fit how you work.

Connect supported desk phones and softphones through SIP. We check registration, audio and device compatibility during setup, including remote working requirements.

TWO WAYS TO CONNECT

Your PBX.
Your choice of trunk.

The PBX handles your people and call flow. The trunk carries calls to and from the telephone network.

01 / BRING YOUR OWN TRUNK

Keep the carrier
that works for you.

Connect a compatible SIP trunk to Sayvona. Your existing carrier remains responsible for its telephone numbers, destination tariffs and call charges.

  • Pay Sayvona for the PBX plan you choose.
  • Pay your carrier for number rental and airtime.
  • No Sayvona DID fee for numbers supplied by that carrier.
  • Confirm authentication, caller ID and simultaneous call capacity.

02 / CONNECT THROUGH SAYVONA

Your PBX and number.
One conversation.

Add a business number to your PBX plan and use Sayvona’s calling connection. We confirm number availability, your outbound routes and the capacity you need.

  • First number: included in your plan.
  • Each extra number: KES 1,500/month.
  • Outbound Safaricom calls: KES 3.20/minute.
  • Incoming local calls: KES 1.00/minute.

Share your requirements. We’ll explain the setup, responsibilities and cost.

Your quote separates software, numbers, airtime and any additional services.

Indicative prices before tax. Effective extension prices assume every included extension is used; plans are billed as bundles. External calls, number rental, devices and custom setup are separate. Need more than 50 extensions, including 100+? Talk to sales about an Enterprise deployment. Simultaneous call capacity is agreed independently of extension count.

BEYOND THE FIRST RING

A phone system with
the everyday details.

Choose a supported setup with the features your office actually uses. Access and configuration are agreed during onboarding.

01 /

Transfers and consultation

Transfer directly or consult a colleague before completing a handover. Keep the next person in the conversation informed.

02 /

Parking and pickup

Park a call for an agreed person or shared device to retrieve. Configure supported pickup and feature codes for the office.

03 /

Voicemail and greetings

Use designated mailboxes, recorded greetings and message review. Agree the people responsible for responding and the retention requirements.

04 /

Presence and forwarding

Set what happens when someone is busy, away or unavailable. External forwarding adds the appropriate telephone charges.

05 /

Your audio library

Use approved greeting recordings, prompts and hold music to create a consistent calling experience. Storage scope is agreed with the account.

06 /

Calling rules

Review allowed destinations, office hours and calling policies. Assign an authorised administrator to maintain the agreed setup.

A CLEAR WAY TO GET STARTED

A smoother start
for your whole team.

01 /

Map your office.

List the extensions, teams, devices and business numbers you need. Tell us how many external calls you expect at once and who will administer the system.

02 /

Connect and configure.

Bring your SIP trunk or choose a Sayvona number. Agree your greeting, hours, ring groups and the next step when a call cannot be answered.

03 /

Put the call journey to work.

Check inbound and outbound calls, caller ID, transfers and audio. Walk your administrator through the settings and agree support arrangements.

BEFORE YOU MAKE THE CONNECTION

A few useful answers.

Talk it through
Can we host the PBX ourselves?+

Self-hosted deployments are planned and are not generally available. The proposed model is an annual software licence with defined updates and support. Share your infrastructure requirements so we can confirm future availability, deployment scope and cost.

Is a PBX the same as a business phone system?+

Yes. PBX describes the system that connects your extensions and handles business call routing. Cloud PBX means that system is hosted for you rather than running on an appliance in your office.

Does each extension need its own number?+

No. Many extensions can share one public business number. Rent extra DIDs when you want separate public numbers for people, departments or campaigns. Internal extension numbers are part of your PBX plan.

Do 50 extensions mean 50 simultaneous calls?+

No. Extensions are internal telephone destinations for people or devices. Concurrent call capacity is how many external calls the connection can carry at once. One number can serve all 50 extensions, but a ten-call inbound limit still permits only ten incoming calls in progress, including callers waiting in your PBX queue.

Does every extension need a web login?+

No. A supported desk phone or softphone uses its own SIP credentials. Create individual web accounts for people who need the application, with permissions appropriate to their work. A shared phone can have an extension without a separate human web account. Only authorised administrators should manage the whole phone system.

Can I configure the PBX myself?+

Your authorised administrator can manage supported extension and routing settings. Guided onboarding helps you understand the account. Carrier changes, capacity and custom integrations may require our team’s involvement.

Are internal extension calls charged as airtime?+

Calls that stay entirely inside your PBX do not use Sayvona public-network airtime. A call forwarded to an external telephone number creates an outbound leg and is charged at that destination’s rate.

Can all 50 extensions answer customer calls?+

Yes, through the shared answering and routing arrangements configured for your PBX, subject to call capacity. Add Contact Centre for people who need its dedicated agent workspace, availability controls, supervision and reporting. An agent seat includes a phone extension. We quote mixed teams together without charging that included extension again.
